Sales Demo Videos for Outbound: A Playbook for Personalised Async Demos

Prospects ignore paragraphs and dodge calendar links. Here is a repeatable way to send a short, personal demo video instead — and record it in one take.

By the ReScreen team · · 5 min read

You wrote a careful four-paragraph email, attached a calendar link, and heard nothing. The prospect is not being rude. They have forty messages that look exactly like yours, and none of them shows the product doing the thing they care about. Sales demo videos fix that specific gap: ninety seconds of their problem being solved on screen, watched whenever suits them, forwarded to the colleague who actually signs.

The catch is time. If a personal video costs a rep twenty minutes of recording and editing, nobody sends more than three. This playbook gets that down to a few minutes.

A calendar link asks for thirty minutes before the prospect knows whether you are relevant. A video asks for one. It also travels: the champion who liked your call can forward a recap to procurement, security and their manager without re-explaining your product badly.

What should a sales demo video actually show?

One problem, one workflow, one ask.

The structure that works for product demo videos that convert applies here too, only tighter:

  • The first ten seconds are theirs. Their site, their job post, their pricing page, their name said out loud. This is the proof the video is not a mass mail.
  • The middle is the fix. The one workflow that removes the problem you just named, with realistic sample data.
  • The end is one small ask. A reply, a forward, or a call. Not all three.

A five-step method for personalised demo videos

1. Choose the moment in the cycle

Different stages need different videos. Decide which one you are making before you open anything.

StageWhat the video doesSensible length
Cold outboundNames one problem, shows one fixAbout a minute
After a discovery callRecaps what they said, shows the two things they asked aboutTwo to three minutes
Stakeholder forwardWalks a person who missed the call through the caseThree to five minutes
Proposal or pricingTalks through the document so it is not read coldTwo minutes
Stalled dealShows something new since you last spokeAbout a minute

2. Prepare a demo environment once

Build a demo account with believable data and keep it tidy. Close the inbox, the chat app and anything with another customer's name in it.

3. Write three lines, not a script

Line one: the observation about them. Line two: the sentence that introduces the workflow. Line three: the ask. Improvise everything in between; a read-aloud script sounds like one.

4. Record in one take

Accept small stumbles; slightly imperfect reads as personal. If a take goes wrong in the first fifteen seconds, restart rather than repair.

5. Send it where they already are

Email, LinkedIn message, or the thread your champion uses. Put the point of the video in the message text as well, so the email still works for someone who never presses play.

How ReScreen makes each step faster

ReScreen is a native macOS screen recorder and editor. It does the editing a rep would never have time for.

Set up once with a preset

The built-in "Product Demo" recording preset captures at 4K and 60 FPS. Save your own variant with your camera, microphone and demo window already chosen, and every rep on the team starts from the same look. Pick a Window or Application as the source instead of the whole display, so a second monitor full of pipeline notes never appears.

Let the zooms happen on their own

The button you are demonstrating is tiny once your video is playing in a preview pane. Smart Zoom builds zoom blocks from your real clicks, drags and scrolls, so the viewer's eye lands where yours did. Leave "Combine nearby clicks" on and a burst of clicks in one form becomes a single held zoom rather than a dozen lurches. Delete any block you do not want; nothing is baked into the capture.

Fix a bad start without starting over

Press ⌥⌘R to start. If you fluff the opening, the floating toolbar has a control to save the take and restart. If you only hunted for a tab for eight seconds in the middle, set an in and out point around it and use "Remove Range" — the editor opens the moment you stop, so there is no import step.

Send something immediately

The instant a take stops, a ready-to-play MP4 is written beside the project with no second encode. It contains the screen plus your microphone and system audio mixed together — not the camera bubble, zooms or background. For a quick post-call recap, that file is often enough. For cold outreach where polish and your face matter, run Export: H.264 in an MP4 container plays almost anywhere, and the "Smaller File" quality level keeps the result easier to attach. The export options cover the rest.

What ReScreen does not do, and what to pair it with

ReScreen has no hosting, no share links, no viewer analytics and no team workspace. It gives you a video file.

  • Delivery is yours. Attach the MP4 if it is small enough for your mail system, or upload it to your own hosting, a shared drive or your sales engagement platform and paste that link.
  • View tracking comes from the host. If knowing who watched is central to your process, a cloud tool built around links may suit you better; the honest trade-offs are laid out in ReScreen vs Loom.
  • Captions are added elsewhere. ReScreen does not transcribe, so use your video host's captioning if you need it.

What you get in exchange is privacy. Recording, editing and export all run on your Mac, which matters when the screen includes a prospect's data, a CRM record or unreleased pricing. There is a fuller guide to recording confidential screens safely if your deals involve NDAs.

After the deal closes

The same one-problem, one-workflow format is what new accounts need in their first week. The follow-on playbook for customer onboarding videos picks up from there.

Next step

Pick five open opportunities, choose the right row from the table for each, and record all five in one sitting. Compare the replies with your usual text follow-ups and decide from your own results, not from anyone's benchmark.

ReScreen runs on macOS 14 Sonoma or later, on Apple Silicon and Intel. Every plan includes every feature with no watermark and no time limits. See the plans on the pricing page, then download ReScreen and record the first one.

FAQ

Questions about this topic

How long should a sales demo video for outbound be?

Short enough to watch between two meetings. For cold outreach aim for roughly a minute on one problem; a post-call recap or a stakeholder walkthrough can run a few minutes because the viewer already asked for it.

Can I see who watched a video recorded with ReScreen?

No. ReScreen has no hosting, share links or viewer analytics; it produces a video file on your Mac. If you need view tracking, upload the file to a video host or sales engagement platform that provides it.

Do I need to be on camera in a sales demo video?

It helps in cold outreach because a face proves the video was made for one person, but it is optional. In ReScreen the camera is a separate track, so you can resize it, move it or hide it after recording.

Record the next one properly

Install it, hit ⌥⌘R, and watch a take that would normally cost you an evening in a timeline come out finished.
